SIHMA is Hiring: Admin Officer

Well, SIHMA is in search for a hard working and determined new staff member to assist with administrative duties for the office.

As an Admin Officer at SIHMA, you will  provide admin and logistic support  to advance the activities and projects  related to research, publications, training, events, and communication.

Key Job Responsibilities include: 

1. Office administration:

  • Welcoming and directing visitors, answering phone inquiries, and handling complaints professionally.
  • Coordinate schedules, arrange meetings, distribute memos and reports, continuously update all records, contact and mailing lists, and ensure that everyone is kept current on necessary organisation news and information, and ensure the confidentiality and security of files and filing systems.
  • Attend specific meetings, providing preparatory material, minutes, and reports.
  • Ensure office supplies are sufficiently maintained.  

2. Record keeping and reports support: 

  • Monitor and update the Financial Annual Report (FAR) for the audit.
  • Support the Executive Director (ED) in keeping all relevant SIHMA policies updated.
  • Prepare requisitions for weekly payments to the financial department.
  • Support the ED in preparing the Annual report of SIHMA (DSD and printing version). 
  • Support the production, printing, and dissemination of the Journal AHMR.  

3. Communication, coordination and support:

  • Coordinate and implement all SIHMA events, meetings, workshops, and conferences.
  • Collaborate with the ED and the HOR in the management of the Volunteer applications and selection of candidates.  
  • Support in the various assignments, monitoring, and evaluation of tasks. Any other support related to the management of the Office, or the projects of SIHMA as required, (including recruitment, compliance, wellness, office safety/security, office housekeeping, IT systems/user support, etc.) 
  • Supporting the ED in managing the organisation's strategic plan and in fundraising activities

4. Research support: 

  • Manage the bookings of & update the books and Index of the Beniamino Rossi Library.
  • Offer logistical and administrative support for research projects, in collaboration with the HOR.
  • Receive and organise the research requests for the Head of Research (HOR) for the SCCT-SIHMA research committee meetings.
  • Monitor the updates and security on the website, in collaboration with Web Solution.
  • Interact with the network of Scalabrini Study Centres for the exchange of research and to organise online meetings.
  • Coordinate the production and upload of content for SIHMA’s communication strategy, including social media posts (Fb, X, Instagram, LinkedIn); SIHMA website Blog posts and YouTube channel content; infographics and media products; press review and quarterly newsletter; Atlas of African migration, narratives on human mobility, and visual history of migration.
